More control without enterprise overhead

A practical step up from spreadsheets, paper and memory.

RCM is designed for businesses that need more structure and accountability around physical cash, but do not need to buy or commission a large enterprise cash-management platform. The questions stay practical: where is the cash, why is it there, who moved or confirmed it, and what happened next.

It is not a POS system and it is not accounting software. Your POS records the sale; your accounting system records the financial result. RCM manages and audits the physical cash-control process around them.

RCM manages

Counts, Cash-Ups, Safe positions, Cash Drops, Lodgements, Cash Deliveries, movements, signoff and history.

RCM does not replace

Your till/POS, bookkeeping, accounting package or bank-account reconciliation.

Basic
Paper and spreadsheets Flexible and familiar, but increasingly difficult to control as locations, staff and cash movements grow.
RCM
Structured physical cash management Branch-based workflows, balances, reconciliation, Staff Signoff, reports and a traceable movement history.
Enterprise
Dedicated cash-management platforms Appropriate when the scale, integrations and budget justify a larger specialist system.
The physical cash lifecycle

Follow the cash instead of recording only the end-of-day total.

RCM keeps the stages of physical cash separate and traceable, from the daily Cash-Up through Safe management and Lodgement preparation to the point where cash physically leaves the business.

01 · Daily control Cash-Up

Reconcile cash, card and configured payment channels, record expenses and count physical cash.

02 · Secure movement Cash Drop / Safe

Move cash out of the till, recount sealed Cash Drops and maintain Banking Safe and optional Change Float Safe positions.

03 · Prepare Lodgement

Prepare from Banking Safe cash, eligible Cash Drops or both, with denomination and bank-bag detail.

04 · Handover Collection

Mark the Lodgement Collected when the physical cash leaves the business, or cancel it and return the value safely.

Incoming cash Cash Delivery
Destination Banking Safe

Record cash or change received into the business through a controlled, auditable movement.

Current public functionality · 0.5.0

The controls needed to run a real cash process.

The public release covers the day-to-day cash cycle across one or multiple branches, without requiring WooCommerce or an existing public-facing WordPress website.

DAY

Bring the daily close into one structured workflow rather than splitting it across till reports, calculators and spreadsheets.

  • Multiple branches
  • Daily Cash-Ups
  • Cash, card and payment-channel reconciliation
  • Denomination counting
  • Standard till float, including count-included or float-excluded workflows
  • Expenses
  • Shared Till Group
SAFE

Safes, Cash Drops and physical balances

Keep money that has left the till visible and accountable in the location or holding state where it actually sits.

  • Banking Safe
  • Optional Change Float Safe
  • Sealed Cash Drops
  • Cash Drop recounts

Oversight, history and configuration

Keep the wider cash process reviewable and portable without turning the application into a heavyweight enterprise platform.

  • Reports
  • Audit Log
  • Staff Signoff and historical signoff compatibility
  • Setup Transfer
  • Responsive Classic and Modern interfaces
  • Fresh Operational Cutover tools
People & Access

Give each person access to the parts of cash management they actually need.

Manager, Supervisor and Staff profiles can be given branch-aware access around operational responsibility rather than relying on one broad WordPress role for everyone.

Manager Wider operational oversight
Supervisor Controlled operational access
Staff Day-to-day task access
Supported actions can be attributed to the authenticated Staff identity performing them, strengthening accountability while preserving historical Staff Signoff records.
Second-person approval where it matters

Sensitive actions can require one or more authorised people to approve them. Self-approval can be prevented, and the identity and history of each approval remain part of the record.

Action Sensitive cash action
Approval Authorised second person
History Approved and recorded
Who it is for

Built for organisations that still handle real cash.

RCM began around retail workflows, but the core problem is much broader: counting, moving, storing and handing over physical cash with a reliable record.

Shops and retail Daily tills, Cash Drops, Safe balances and bank Lodgements.
Cafés and restaurants Multiple payment channels, expenses, floats and physical cash handovers.
Hospitality Branch or venue cash control with clear counts and movement history.
Service businesses Structured cash handling without introducing a full enterprise platform.
Other cash-handling teams Any organisation that needs stronger control than paper or spreadsheets provide.
Why WordPress?

RCM uses WordPress as application infrastructure.

You do not need an existing WordPress website. RCM can run on a dedicated WordPress installation whose only job is to provide the cash-management application.

That gives RCM a mature foundation for hosting, data storage, email, localisation and updates without requiring every business to maintain a bespoke application stack.

WordPress.org distribution means the plugin is published through the official WordPress plugin infrastructure and review process. That is useful assurance and distribution infrastructure, not a security certification.
Login and account infrastructure WordPress provides the underlying account and session foundation; RCM adds its own operational People & Access controls on top.
Database and hosting Run RCM on hosting you control, from a dedicated installation to an existing suitable WordPress environment.
Email and localisation Use established WordPress services for operational email and localisation rather than rebuilding them from scratch.
Updates and ecosystem RCM uses the familiar WordPress plugin update mechanism and sits within a mature hosting and plugin ecosystem, while its application screens remain focused on the cash-management job.
Use it your way

Self-host it for free, or have Website Guy manage the setup.

RCM itself is free. Businesses comfortable with WordPress can install and manage it themselves. If you would rather treat it like a managed business system, Website Guy can handle the WordPress side.

Guided Setup Wizard

Answer business questions, not software questions.

New installations can start with a guided setup that asks how your business actually handles cash and translates those answers into the right RCM configuration. That includes different till-float practices: whether the physical count includes the standard float or the float is removed before counting.
